Enterprise Recruiting Platform: Mobile Redesign & Intake Form Builder

About the client

The client is a US enterprise software company whose recruiting platform is a live product with active users who rely on it every day. Its Recruit module helps teams move candidates through hiring stages and collect candidate information.

The challenge

The Recruit Workflow and Global Status Board were built for desktop only. On mobile, drag and drop did not work well, editing a candidate took too many taps, key actions were hidden behind a three-dot menu, and long pages meant endless scrolling.

What we delivered

Responsive redesign of the Recruit Workflow and Global Status Board:

• Replaced drag and drop on mobile with a simple flow: tap the candidate, tap Edit Stage, choose the new stage
• Expandable and collapsible stages, so recruiters open only the stage they need
• Candidate cards with Edit, Remove, Move, and View Details always visible instead of hidden in a menu

A new Recruit Intake Form Builder, designed from the ground up:

• Moved from drag and drop to a checkbox pattern after stakeholders asked for tighter control over form structure
• Grouped fields into predefined sections (Personal Information, Education, Experience, Skills, References) to cut scrolling and keep forms consistent
• Right-click option to mark any field as mandatory, chosen by product leadership from three explored options
• Header with breadcrumbs, form name, created and modified details, and a menu to rename or delete the form
• Expandable sections in the sidebar, so recruiters pick exactly the fields they want without adding and removing a whole section
• Mobile version with the sidebar as a dropdown, the same section structure, and long-press actions to mark a field mandatory or remove it

How we worked

The product changed quickly, with new requirements most weeks. We iterated through reviews with the team lead, senior product manager, and VP of Product Development, and the sectioned form structure gave them the “controlled flexibility” they had been asking for.
